Documate September 2023: Full workspace lifecycle & Search functionality

September has been all about giving you better control over your workspaces. We’ve listened to your feedback about managing multiple documentation spaces, and this month’s updates make organising and finding your content significantly easier.

Whether you’re working on multiple projects or teaming up with different groups, these new features give you complete control over how you manage your workspaces.

Complete workspace lifecycle management

Now you have full control over your workspace’s entire lifecycle.

You can deactivate workspaces when projects go on hold, then reactivate them when you’re ready to pick up where you left off. When a project truly ends, you can permanently delete deactivated workspaces to keep your account tidy. Plus, you can edit workspace names and descriptions as projects evolve.

💡 Pro tip: Use descriptive names and detailed descriptions when creating workspaces. Your future self will thank you when you’re searching through dozens of documentation spaces.

Our new search functionality lets you quickly locate any workspace by name or description, whether you own it or someone shared it with you.

We’ve also organised your workspaces into clear categories: owned, shared with you, and deleted. No more scrolling through endless lists, wondering which workspace belongs to which project.

💡 Pro tip: Add relevant keywords to your workspace descriptions. The search function looks through both names and descriptions, making it easier to find what you need later.

A few more improvements

🚫 Better boundaries: You can no longer accidentally navigate to deactivated workspaces, preventing confusion.

📜 Smoother scrolling: The workspaces page now scrolls properly when you have many workspaces to browse.

↔️ Visual control improvements: You can now resize images and embedded components to make your content look exactly how you want it.

🎨 Cleaner interface: We’ve removed image captions for a tidier look throughout the application.

🗑️ Data consistency: Deleting a page automatically cleans up its update history.
