This November brings significant improvements to how you create and share documentation with your team.
We’ve enhanced the way ServiceNow record references work across different permission levels, ensuring everyone sees the right information without compromising security.
Alongside this, we’ve redesigned the editing toolbar to make content editing faster and more intuitive than ever.
Security-aware ServiceNow record references
When you link to ServiceNow records in your documentation, team members with different permission levels will see a clear “Not available” message if they cannot read that record.
This change means you can freely share documentation containing ServiceNow references without worrying about access permissions. Your existing ServiceNow security rules automatically apply.
No need to maintain separate permission systems or manually check who can see what. Team members always know when they’re viewing complete information versus when some details are restricted.
💡 Pro tip: When you have access to a record, hover over the link to see a rich preview with key details.
Organised toolbar for cleaner editing
We’ve reorganised the editing toolbar to group related functions together. Formatting options now sit in logical clusters, with clear visual separators between different types of actions. The paragraph and code block icons have been redesigned for better distinction, and all dropdown menus now display consistently aligned icons.
These changes reduce the time spent searching for the right tool and make the editing interface more intuitive for new team members.
💡 Pro tip: The new colour picker includes preset colours optimised for both light and dark modes, making it easier to maintain consistent document styling.
Notable improvements and fixes
✨ Visual feedback: Added cursor highlighting that shows exactly which content block you’re working on as you move through your document.
🔧 Keyboard shortcuts: Text formatting shortcuts now properly update the toolbar to reflect your changes.
🎯 Better navigation: Fixed issues where menus would stay open when switching between pages.
🔗 Link behaviour: Email links now open in new tabs.
📝 Mention system: The mentions pop-up no longer interferes with other editing menus.
